This Privacy Policy explains how Stage Mom Society collects, uses, and protects information — including information about children — through the Site and our Services. Because our community and Services exist specifically to support families of working child performers, we've included explicit language about how information related to your child is handled.
2. Information We Collect
From you (the parent/guardian):
- Name and email address, collected when you join our waitlist (via MailerLite) or contact us
- Information submitted when applying for Holding Room membership
- Booking details when you request a Service
- Payment information, processed through our third-party payment processor — SMS does not store full card numbers
- Any correspondence you send us directly
About your child, provided by you:
- Professional work history or credits, submitted to verify Holding Room eligibility
- Scheduling and logistical details needed to coordinate a booked Service
- Safety-related information you choose to provide for a set guardian booking (allergies, emergency contacts, authorized pickup individuals)
We do not knowingly collect information directly from children. Our Site and intake forms are directed at, and intended to be used by, parents and legal guardians. If we become aware that a child has submitted information to us directly without a parent or guardian's involvement, we will delete it and, where possible, notify the submitting party's parent or guardian.
3. How We Use Information
- Evaluate and manage Holding Room membership applications
- Coordinate, staff, and deliver booked Services, including sharing necessary details with the specific contractor assigned to your booking
- Communicate with you about your waitlist status, application, or booking
- Process payment for Services
- Maintain the safety and integrity of our community
We do not use information about your child for advertising, marketing to your child, or any purpose unrelated to delivering the Service you requested.
4. How We Share Information
We do not sell personal information, including information about children, under any circumstances.
- With the specific contractor performing your booking, limited to what they need to safely perform it
- With service providers who support our operations (MailerLite, our payment processor), under obligations to protect the data
- When legally required, or necessary to protect the safety of a child in our care
- We do not share Holding Room membership or application materials with other members, the public, or anyone for marketing purposes
5. Children's Privacy
Stage Mom Society is a service for adults acting on behalf of children — it is not directed at children, and children are not permitted to create accounts, submit applications, or interact with the Site on their own behalf.
- Any information relating to a child is provided by, and remains under the control of, that child's parent or legal guardian.
- Parents/guardians may review, correct, or request deletion of information provided about their child at any time by contacting us.
- We limit collection of child-related information to what is reasonably necessary to verify Holding Room eligibility or deliver a specific booked Service.
- We do not require a child to disclose more information than is reasonably necessary to provide a Service.
- If you are a parent or guardian and believe your child has provided us with information without your consent, contact us immediately at stagemomsociety@gmail.com and we will delete it.
- Live sessions. For any live, one-on-one session involving direct interaction with your child (e.g., a self-tape session or callback prep over video call), a parent or legal guardian must be present for the entire session. This is a condition of booking, not just a policy statement — our staff and contractors are instructed not to begin or continue a session if a parent or guardian is not present. Any video or audio captured during such a session is treated as personal information about your child and is used solely for the purpose of the booked Service.
6. Data Retention
We retain information only as long as necessary to manage your Holding Room membership, fulfill a booking, or comply with legal obligations. You may request deletion of your (or your child's) information at any time, subject to any records we're required to retain.
7. Data Security
We take reasonable steps to protect the information we collect, including limiting access to booking and application details to those who need it to deliver the Service. No online platform or data transmission can be guaranteed 100% secure.
8. Your Rights & Choices
You may unsubscribe from waitlist emails at any time, request access to, correction of, or deletion of information we hold about you or your child, or withdraw a Holding Room application at any time. To exercise any of these rights, contact stagemomsociety@gmail.com.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes affecting how we handle children's information will be communicated to Holding Room members directly.
